Administrative Support Specialist NA-84

Location:  DOE Forrestal Building, Washington, DC

This position will assist the National Nuclear Security Administration (NNSA) Office of Nuclear Incident Response (NA-84) coordinate and integrate programmatic and interagency efforts to include meeting support, document creation, communications, and coordination of products related to the NA-84 and the NNSA mission. This position also serves as an on-call member of Nuclear Emergency Support Team (NEST) with a primary response duty location at DOE Headquarters in Washington, DC. (Forrestal building).

Responsibilities:

  • Provide general administrative support to executive leadership and technical teams and produce professional-level documents in support of NA-84.
  • Track inter- and intra-office correspondence and personnel security-related information using automated systems.
  • Manage multiple calendars; schedule meetings with internal and external contacts and adapt quickly to changes or scheduling conflicts.
  • Maintain file records received from the entire complex.
  • Assist with the preparation and disseminating of personnel security memoranda, forms, and reports.
  • Provide interagency meeting support to include schedule coordination, and development of meeting materials.
  • Track cross programmatic issues and topic which impact the Nuclear Incident Response.
  • Brief NA-84 leadership and interact at leadership levels; interactions will include working directly with interagency, DOE laboratories, and international partners.
  • Coordinate and track multiple interoffice documents, reports, and program initiatives.
  • Assign, track, and close out NA-84 tasks to include those from the Office of Counterterrorism and Counterproliferation (NA-80).
  • Assist NA-84 federal and contract staff onboard and offboard.
  • After receiving the appropriate training, serve "on-call" as a member of the NEST Response team which may include after-hours, extended shifts, and weekends.
  • Maintain training and appropriate qualification standards associated with response team.
  • Domestic travel may be required to support integration operations, exercises, training, and meetings.

Required Qualifications:

  • DOE site access requires the qualified candidate be a U.S. citizen with an ACTIVE DOE Q or Department of Defense (DoD) Top-Secret security clearance. The candidate’s written consent to conduct a pre-employment background check and test for the absence of any illegal substances will be required as a condition of employment and for the purposes of maintaining the security clearance.
  • Ability to obtain Sensitive Compartmental Information (SCI) access authorization.
  • Proficient in advanced Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint with ability to apply advanced Microsoft applications to transform draft reports and products into professional, final products.
  • Proficient in virtual meeting applications, including WebEx and Microsoft Teams.
  • Proficient in Adobe Acrobat and SharePoint.
  • Willingness to work directly with clients in an environment that changes rapidly; must possess a mature approach to the personal interactions between a consultant and the Client.
  • Must be an independent self-starter with excellent organizational skills and can multitask and be comfortable working with a team of technical experts in varying fields of operational and scientific disciplines.
  • Ability to track and monitor documents from inception to production.
  • Ability to perform in a fast-paced, deadline-oriented work environment.
  • Ability to successfully execute many complex tasks simultaneously.
  • General knowledge of agency organization and structure
  • Able to sit for extended periods and perform work in an office environment, including extensive use of computers, under sometimes stressful conditions.
  • Able to work after hours, extended shifts, and on weekends when required during emergency responses and exercises.
  • Domestic travel will be required with potential for international travel. Travel is "best cost" to the government and only economy airfare/rental cars are allowed.
  • Able to lift 50 pounds, carry your own luggage, and walk up to a quarter of a mile to work locations.
  • This position may require the periodic successful completion of a counterintelligence-scope polygraph examination.
  • Ongoing reviews and tests for the absence of any illegal substances will be conducted as a requirement for access to DOE sites. The candidate’s written consent to conduct such tests will be required as a condition of employment.
